The problem: notices buried in the mailbox
Carriers report unpaid premiums in many forms: an email, a statement attached to a neutral message, a file to download from a portal. Someone has to spot them, find the client and the policy, write the reminder with the right amount and period, then check later whether the client paid. When the same notice comes back, the work starts again.
What the collections agent does
- It reads a connected mailbox on a regular schedule and keeps only the messages with an explicit non-payment signal. A regular premium notice is not treated as unpaid.
- It also reads files imported from carrier portals (CSV, XLSX, PDF or screenshots) for carriers that do not notify by email.
- It groups all unpaid installments of a policy into one file, and a new notice updates that file instead of creating a duplicate.
- It drafts the reminder with the total amount, the period concerned and, when the notice says so, the coverage suspension warning.
- It closes the file on its own when a payment confirmation arrives in a recognized carrier format; otherwise the broker marks the file as paid.
Every reminder waits for the broker
The email is a draft placed in the agency mailbox and labeled for Covera; Covera has no permission to send from the mailbox. There is no SMS channel. A draft the broker deletes is never placed again automatically for the same reminder.
No reminder on a timer
A second reminder is prepared only when the carrier sends a new notice on a file already followed up, and not within seven days of the last one, a delay the agency can change. A file marked paid or cancelled for non-payment gets no more reminders.
Availability for US agencies
The collections agent was designed on the notices of French carriers. For a US agency, the notice formats of its carriers and the reminder workflow are validated with Covera before activation.
Linked agents
The same mailbox sorting sends claim emails to the claims agent and keeps unpaid notices here. An open unpaid file also excludes the client from the outreach prepared by the account rounding agent: nobody pitches a new policy to a client who is behind on payments.
Data
Every value in a file cites the document it came from. Covera does not train any AI model on agency data.
