AI agents for Outlook and Microsoft 365

Covera Agents connects to each broker's Outlook mailbox on Microsoft 365: it reads documents and replies, sorts incoming mail when enabled, and places every follow-up as a draft. It never sends an email itself.

Covera Agents builds AI agents for insurance brokers. The mailbox is the richest source of documents in an agency, and the easiest to connect: there is no access to negotiate with a software vendor. With Outlook on Microsoft 365, each broker connects their own mailbox in a few clicks.

Covera reads and drafts, the broker sends

Covera reads, sorts and places drafts. It does not send any email on the broker's behalf. Every reminder and every request is a draft in the broker's mailbox, reviewed and sent by the broker. Sending is not among the permissions requested by default.

How the connection works

Covera uses delegated access: it acts as the connected broker, on that broker's mailbox only, never on the whole Microsoft 365 tenant. The broker opens Covera's settings, clicks Connect Outlook, and accepts the Microsoft consent screen. Each colleague repeats the step for their own mailbox. Depending on the tenant's consent policy, a Microsoft 365 administrator may need to approve Covera once for the organization; after that, brokers connect on their own. The administrator can also restrict Covera to a group of users.

Shared mailboxes such as a contact or quotes address are supported when the broker already has delegated access to them in Exchange. Covera never grants more access than the broker already has in Outlook.

What it unlocks for the agents

  • Document import: the broker picks messages and attachments to add to a quoting or comparison file.
  • The past-due collections agent reads carrier notices in the chosen folder and drafts each reminder.
  • The claims agent sorts claim emails and drafts the request for missing documents.
  • The assistant searches and reads the mailbox of the person asking, and drafts a reply only on request.

Covera then follows each draft: sent, edited or deleted.

Who sees what

A member only sees the mailbox they connected. An agency administrator can search the connected mailboxes of the agency, and every read is logged. Mail sorting is off by default, enabled mailbox by mailbox, and does not keep message bodies.

Revoking access

A broker disconnects from Covera's settings, or removes the app from their Microsoft account. When an employee leaves, the connection ends with the deactivation of their Microsoft account.

Limits

Mailboxes are checked at regular intervals, not in real time. The broker's Outlook signature is not exposed, so each broker can set a signature per mailbox in Covera. Covera does not train any AI model on agency data.

Frequently asked questions

Does Covera Agents send emails from Outlook?

No. Covera Agents places drafts in the broker's Outlook mailbox. The broker reviews and sends each one; sending is not among the default permissions.

Does our Microsoft 365 administrator need to act?

Often once: depending on the tenant policy, an administrator approves Covera Agents for the organization. Brokers then connect their own mailbox.

Does Covera Agents work with shared Outlook mailboxes?

Yes, when the broker already has delegated access to the shared mailbox in Exchange. Covera Agents never grants more access than the broker already has.
